Supplier Ops Process Manager will spearhead/implement continuous
improvement initiatives for Ulta Beauty's new Vendor Invoice
Management (VIM) capability & system. This role is the process lead
that coordinates across the business to resolve identified errors
through the invoice management process for timely resolution and
payment of suppliers. This work is executed by pulling reports from
our Vendor Invoice Management (VIM) system from OpenText and
partnering with stakeholders across the business to resolve the
identified issue restricting payment to the supplier. In addition,
this process manager will operate with a continuous improvement
mindset, identifying and driving process improvement opportunities
with our suppliers and internal partners to improve performance
through efficiencies and data clean-up. This role reports into our
Supplier Operations team and works cross-functionally with
associates in our Accounts Payable, Merchandising, and Supply Chain
teams. YOU'LL ACCOMPLISH THIS THROUGH
- Developing near, medium, and long-term process improvement
strategies across merchandising, supply chain, supplier engagement,
finance workstreams related to perpetual inventory accuracy and
supplier payment success
- Ensuring that rules-based discrepancies identified by the
vendor invoice management system are assigned to the proper
resources on a daily and or weekly basis
- Providing direction/assistance to those assigned to
discrepancies as they (1) review purchase orders and/or other
related documentation for completion and compliance with accounts
payable policies, procedures, and contractual requirements and (2)
validate the accuracy of associated data in our various
systems.
- Analyzing the data from the VIM system to identify trends,
variances to plan, and opportunities for process improvement to
drive reduction in the open GR/IR balance caused by discrepancies
between purchase orders, goods receipts, and vendor invoices.
- Creating detailed analytics on: (1) open GR/IR balances by
vendor, (2) outstanding payment issues and success rates, and (3)
vendor-specific issues.
- Serving as a point of contact for vendor-related payment issues
including directly from Category Managers, EDI Teams, payment
processing teams, etc.
- Communicating with merchandise vendors and internal
stakeholders to facilitate research and timely resolution of
discrepancies so invoices can be paid.
- In some cases, working directly with highest value vendors on
payment blockers THE ESSENTIALS FOR SUCCESS
- Minimum of seven years direct work experience in supplier
performance and collaboration or similar work experience,
preferably within accounts payable, supply chain or
Merchandising
- Direct report leadership experience preferred
- Experience with Invoice Management software preferred
- Strong data & analytical skills and advanced to expert skill
with Descriptive & Diagnostic Analytics and Data Visualization
- Strong attention to detail, accuracy, and problem
resolution
- Excellent prioritization and organizational skills, and ability
to manage multiple priorities at the same time
- Ability to influence without direct authority, including
leaders, project teams and other departments within the
organization
- Collaborative with team members and motivated to work
independently
- Must be thorough and able to monitor/assess work for
quality
- Effective communication skills (written and verbal); ability to
articulate messaging to a variety of audiences
- Ability to build strong working relationships with
internal/external customers.
- Advanced to expert skills with Microsoft Office applications.
Preferred skills with tools such as Tableau and Microsoft Power BI
