THE IMPACT YOU CAN HAVE The Associate Relations Specialist provides HR guidance, direction and influence for the enterprise. They function as consultants and a critical business partner and advisor to the RVP/DM on all HR matters as well as support investigations and high-risk issues in the Distribution Centers. They provide day-to-day administration of associate relations activities for Ulta Beauty. They facilitate an open line of communication to the enterprise to ensure policies, procedures, performance management and disciplinary action are followed properly. They provide clarification and resolve issues by being a mediator and problem solver. They conduct associate relations investigations to ensure all hotline and We Care, Let s Talk complaints and concerns are rectified consistently and timely. They act as escalation point for HRSC team, Social Media, Guest Services and Crisis Management involving complaints, issues, workplace violence situations and other associate safety events. They evaluate, compile, analyze and report out data points to identify trends both positive and negative to ensure alignment toward HR goals and company strategic imperatives. They function as a center of excellence to reduce the risk to the organization and ensure the associate journey is positive. The duties of an Associate Relations Specialist also center on achieving business objectives by identifying opportunities to solve business problems through broad and up-to-date knowledge of employment law, organizational behavior, change management, data analytics, best practices and company policy. CORE JOB RESPONSIBILITIES:

  • Lead the Associate Relations Center of Excellence in ensuring compliance and risk management relative to associate relations practices and performance management across the organization.Provides guidance to Leaders/RVP/DMs in HR matters for appropriate action and partnership including but not limited to performance, policy administration and application
  • Work in collaboration with Legal Services to assess areas of Company risk, produce reporting and metrics to identify root causes, and develop proactive long-term solutions to address issues.
    Provide expert coaching to field leaders on resolution to specific conflict situations and provide recommendations. Provide guidance on corrective action administration, appropriate level and proper documentation.
    • Support region in all Crisis related situations ensuring the safety and wellbeing of all associates impacted. Conduct high-risk Investigations - Coordinate intake, fact finding, documentation and recommended actions on associate investigations for assigned business regionConsult and partner on talent management processes in the field to include the performance review process, leadership assessments and internal talent movement. Lead and investigate complex workplace violence situations that arise in their assigned business regionLead and investigates issues that surface through guest services and social media for their assigned business regionLead and investigate concerns escalated to management level associates in the distribution centers or as assigned Partner and support ADA interactive dialogue and accommodation needs assessment. Lead accommodation process for religious accommodations
    • Conducts DM and General Manager exit interviews to analyze and identify trends which impact retention and for solutions that will lead to improved associate satisfaction and lower turnover.
    • Analyze company reporting to effectively make timely recommendations to alleviate risk or positively impact the business or associates including policies, processes, precedent and standard operating procedures.
    • Leverage HR Metrics/Data to help move the business forward with trends and metric analysis.
    • Diagnose training opportunities.
    • Maintain current knowledge and provide consultation in the areas of employment law and Human Resources issues, policies, programs and processes.
    • Leading through Ulta Beauty values to advocate for associatesADDITIONAL RESPONSIBILITIES:

      • Excellent communication, interpersonal, analytical, and problem-solving skills
      • High level of discretion and judgment, particularly when dealing with confidential matters
      • Ability to investigate complex reports of conflict, harassment, and discrimination claims with precision
      • Ability to effectively interact with associates at all levels within the organization, listening to and acknowledging employee sentiment, educating on alternative points of view
      • The ability to work in a fast moving and changing environment
      • Developed presentation skills
      • Ability to travel within assigned markets as needed. This may include air travel and the ability to rent a car.
      • Ability to adjust work schedule according to the business needs SPECIAL POSITION REQUIREMENTS:
        • Professional in Human Resources (PHR) certification or Senior Professional in Human Resources (SPHR) certification preferred
        • Undergraduate degree (related field), 5 years relevant work experience or equivalent combination of education and relevant work experience
        • Technically proficient - particularly in MS Outlook, SAP, Word and Excel - with ability to learn additional programs and systems as needed.
